    This guide explains what the Practicode daily digest email is, what it includes, and how to configure it for your facility.

    What Is the Daily Digest Email?

    The daily digest is an automated email that Practicode sends to the facility administrators you designate once per day. It gives you a consolidated snapshot of your facility's assessment activity from the past 24 hours — without requiring you to log in and pull reports.

    • The digest is designed to answer three questions at a glance:
    • Who completed an assessment in the last 24 hours?
    • Did any assignments just go overdue?
    • Are any learners inactive and potentially falling behind?

    Good to know:  If none of your enabled notification types have qualifying activity on a given day, no email is sent. You only receive the digest when there is something actionable to review.

     

    Quick-Start Guide

    Use this when enabling the digest for the first time.

    Note: The daily send time is set at the system level and applies to all facilities. It is not configurable per facility.

     

    Setup Steps

    1. Edit your facility
      1. Click Admin Menu (link next to Logout button)
      2. Click Facility (left-hand menu)
      3. Click Manage Facilities
      4. Click Edit (Pencil icon) in the desired facility row
    2. Go to the General section.
    3. Check Enable Digest Summary Email.
      The configuration options will appear immediately below.
    4. Select at least one recipient from the Admin Account field.
      Choose individual accounts or use Select All. Eligible roles: Enterprise Admin, Enterprise Enhanced Admin, Instructor.
    5. Check at least one notification type. (Daily Completions, Overdue Assignments, or Inactive Accounts)
    6. If Inactive Accounts is checked, set the Days of Inactivity threshold.
      Default is 3 days. Minimum is 3 days.
    7. Click the Continue to Submit button and “Ok” in the confirmation notification to save the edits.
     
     

    What triggers the email

    • Completions — assessments finished in the past 24 hours, with a top-5-by-score table.
    • Overdue — assignments that missed their end date in the current window (today only, not historical).
    • Inactive — learners with no recorded activity for N+ days.
     
     

    Key rules

    • No qualifying activity = no email sent.
    • At least 1 recipient and 1 notification type are required to save.
    • Recipient lists update automatically when a user's role changes.
    • Disabling the digest preserves your saved settings.
     
     

    Detailed Guide

    What's in the Email?

    The digest is an HTML email with a consistent layout. Here's what each section contains:

    Section What It Shows
    Subject line Daily Practicode Digest: [Date]
    Greeting Hello [Admin Name] — personalized to the recipient's account.
    Total Completions How many assessments were completed in the past 24 hours.
    New Overdue Assignments Assignments that became overdue within the current reporting window.
    Total Overdue Assignments Same scope as above — current window only, not a running historical total.
    Inactive Users (N+ Days) Learners who have had no activity for your configured threshold or longer.
    Top 5 Completions A table showing the top 5 completions ranked by score: Learner Name, Assignment Name, Completion Date, Average Score. Empty rows are suppressed — if only 3 completed, only 3 rows appear.
    View in Platform A direct link to sign in to your Practicode dashboard. Appears after the key metrics section.
    Footer Standard automated email notice. Replies to this email are not monitored.

    A Note on Overdue Counts

    Both the New Overdue Assignments and Total Overdue Assignments figures reflect only assignments that became overdue within the current 24-hour window. This keeps the email focused on what just changed rather than showing an ever-growing historical backlog.

    A Note on the Top 5 Completions Table

    If fewer than 5 assessments were completed during the reporting window, the table only shows the rows that have data. Empty rows are not displayed.

     
     

    Enabling the Digest

    The daily digest is configured at the facility level inside the Practicode facility editor. It is off by default. No technical work is required to turn it on — any authorized admin can enable and configure it directly.

    Step 1: Open the Facility Editor and Enable the Feature

    Navigate to the facility editor and locate the General section. Check the Enable Digest Summary Email box to turn on the feature. The configuration options will appear immediately below the checkbox.

    Note:  Unchecking this box disables the digest for your facility. Your saved settings are preserved, so you don't have to re-enter them if you re-enable the feature later.

     
     
     

    Selecting Recipients

    Once the digest is enabled, you'll see the Admin Account field. This is where you choose who receives the email. Click the field to open the recipient selector.

    The selector shows all accounts at your facility that hold one of the following eligible roles:

    • Enterprise Admin
    • Enterprise Enhanced Admin
    • Instructor

    You can select individual recipients by checking their names, or use Select All to include every eligible account at your facility at once. The search box helps you find specific users quickly when your list is long.

    Important: At least one recipient must be selected before you can save the configuration.

     

    Recipient Lists Stay Current Automatically

    If an admin's role changes after you've configured the digest, for example, a user loses their Instructor role, they are automatically removed from the recipient list. You don't need to manage this manually.

     
     

    Choosing What to Include

    After selecting recipients, you'll see three checkboxes that control what types of activity appear in the digest. Check the ones that are relevant to your facility.

    Notification Type When It Fires What to Know
    Include Daily Completions An assessment was completed within the past 24 hours. Includes a ranked list of the top 5 completions by score.
    Include Overdue Assignments An assignment's end date passed in the current reporting window without the assessment being completed. Only assignments that became overdue today are counted — not historical overdue items.
    Include Inactive Accounts A learner's in-progress assessment has had no recorded activity for the configured number of days or more. You control the threshold (minimum 3 days). Activity means the learner viewed a job assignment.

    Important: At least one notification type must be selected before you can save.

     
     
     

    Setting the Inactivity Threshold

    When Include Inactive Accounts is checked, a Days of Inactivity field appears below the checkboxes. This controls how many consecutive days without activity must pass before a learner is flagged in the digest.

    • Default: 3 days
    • Minimum: 3 days — values below 3 are not allowed

    For example, if you set this to 5, a learner will only appear in the digest after 5 full days with no recorded activity on their in-progress assessment.

    Activity is defined as the learner viewing a job assignment. If a learner has never opened their assignment at all, inactivity is measured from their job start date.

     
     

    Saving Your Settings

    Once you've configured your recipients and selected your notification types, save the facility editor as you normally would. The digest will begin sending on the next scheduled daily run.

    You can return to these settings at any time to add or remove recipients, change which notification types are included, or adjust the inactivity threshold.

    Good to know: Disabling the digest by unchecking Enable Digest Summary Email preserves your settings. If you re-enable later, everything will be right where you left it.
