Codify Notepad for Organizations Guide
Overview
The new Notepad gives your organization one centralized place to create, upload, organize, search, and share important coding knowledge.
Previously, coding notes and reference materials could be spread across individual code pages, favorite codes, articles, emails, shared drives, or individual memory. With the updated Notepad experience, teams can bring that information into Codify and make it easier for coders to find the guidance they need in the tool they already use.
Notepad is part of Codify for Teams, which helps organizations create a more consistent coding experience through:
- Notepad: Free-form notes, file uploads, tags, and org-wide sharing in one central location.
- Favorite Articles: Bookmarked Codify articles with highlighting and notes.
- Shared Favorites: Curated favorite codes and articles, including notes, visible to the whole team.

Why Notepad Was Updated
Coding teams often rely on fragmented tools to share important information.
Common challenges include:
- Coding policies stored in email threads, sticky notes, shared drives, or individual memory.
- Coders applying guidelines differently across the same organization.
- Institutional knowledge being lost when experienced staff leave.
- Managers needing a better way to share approved guidance directly inside Codify.
The updated Notepad helps solve these challenges by giving teams a searchable, shareable source of truth for coding notes, policies, files, and internal guidance.
What Changed?
Your Existing Notes Are Still Available
Any information you previously added to Notepad is still available.
Notes that were previously added to Notepad have been moved into your Favorite Codes and are now searchable in the new Notepad experience. You do not need to recreate your previous notes.
Notes Are Now Centralized
The new Notepad centralizes notes from multiple areas of Codify, including:
- CPT code detail pages
- ICD code detail pages
- HCPCS code detail pages
- Favorite codes
- Favorite articles
- Custom notes
- Uploaded documents
This gives users one place to find and manage important coding knowledge.
Four Content Types, One View
The new Notepad includes four main content types:
- Custom Notes
- Uploads
- Code Set Notes
- Article Notes
Each content type helps your team capture and organize different kinds of information.
Custom Notes
Custom Notes allow you to create free-form notes directly in Notepad.
Use Custom Notes for internal workflows, coding reminders, team guidance, training notes, payer-specific details, or organization-specific documentation.
When creating a Custom Note, you can:
- Add a title.
- Write free-form note content using rich text.
- Embed inline code references using Smart Search.
- Add custom tags for easier retrieval.
- Share the note with your organization, if applicable.
Custom Notes are useful when the information does not need to live on a specific code page or article, but still needs to be searchable and available to your team.

Uploads
Uploads allow you to attach files directly to Notepad.
You can upload supporting documents such as:
- PDFs
- Word documents
- Images
- Spreadsheets
- CMS fee schedules
- Payer policies
- Internal SOPs
- Training materials
- Other reference files
Uploads help your team keep important documents connected to the same centralized Notepad experience.
When uploading documents, you can:
- Add a title.
- Upload multiple documents at the same time.
- Add tags for easier organization.
- Share the upload with your organization, if applicable.

Code Set Notes
Code Set Notes centralize notes connected to individual code detail pages and favorite codes.
This includes notes related to:
- CPT codes
- ICD codes
- HCPCS codes
- Favorite codes
For example, if your team has guidance connected to a specific CPT code, that information can be surfaced and searched from Notepad.
Code Set Notes help coders keep important code-specific details, reminders, and internal guidance connected to the codes they use.
Article Notes
Article Notes centralize notes from Favorite Articles.
These may include notes from Codify article sources such as:
- CPT Assistant
- Coding Clinics
- Revenue Cycle Insider
- Other Codify article content
Article Notes make it easier to find article-related guidance, highlights, and internal interpretation in one dedicated area.
Searching in Notepad
The new Notepad includes a unified search experience.
Search can help you find notes based on:
- Title
- Description
- Tags
- CPT codes
- ICD codes
- HCPCS codes
For example, if you search for a keyword, Notepad may return results where that keyword appears in a note title, note content, tag, or related code reference.
This makes it easier to find the right information even if you do not remember exactly where the note was originally created.

Using Tags
Tags help organize notes and make them easier to find later.
Tags can be added to notes and uploads so users can search or filter by topic, specialty, workflow, payer, or internal category.
Examples of helpful tags include:
- E/M
- Cardiology
- HCC
- Guidelines
- Payer Policy
- Prior Authorization
- Training
- Internal SOP
- CMS
- Amputation
For best results, use simple and consistent tags that your team will recognize.

Sharing Notes with Your Organization
The updated Notepad supports organization-wide sharing.
Managers and other authorized users can share notes and uploads so the entire team can access the same guidance.
This allows teams to:
- Push coding policies to coders directly inside Codify.
- Share payer rules or CMS updates.
- Make internal SOPs easier to find.
- Reduce reliance on email, shared drives, and informal knowledge.
- Create a persistent source of truth for the organization.
Shared notes help ensure that coders are working from the same approved guidance.

Example: Sharing Updated Coding Guidance
A coding manager creates a note titled:
E/M Guidelines — 2026 Updates
The manager summarizes the key changes, adds the tags E/M and Guidelines, and shares the note with the organization.
Once shared, coders can access the note from the shared notes experience. This gives the team access to the updated guidance without needing a separate email, meeting, or shared-drive attachment.
How to Create a Custom Note
To create a Custom Note:
- Open Notepad.
- Select the option to create a new custom note.
- Enter a clear title.
- Add the note content.
- Use Smart Search to embed code references, if needed.
- Add relevant tags.
- Choose whether the note should be shared with your organization.

Once saved, the note becomes searchable in Notepad.

Uploaded documents become part of the centralized Notepad experience and can be found through search.
Best Practices
-
Use Clear Titles
- Choose titles that explain what the note or upload is about.
- Good example:
- E/M Guidelines — 2026 Updates
-
Add Tags Consistently
- Use tags your team will recognize and reuse. Consistent tags make notes easier to find later.
-
Keep Notes Focused
- Create separate notes for separate topics when possible. Focused notes are easier to search, update, and share.
-
Use Custom Notes for Internal Guidance
- Custom Notes are a good place to document internal coding workflows, payer-specific reminders, team policies, or training guidance.
-
Upload Supporting Files When Needed
- Use uploads for longer documents, official policies, fee schedules, screenshots, spreadsheets, or SOPs that users may need to reference later.
-
Share Approved Guidance Organization-Wide
- When a note or upload should apply to the whole team, share it with the organization so coders can access the same source of truth.
Why It Matters
-
Consistency
- Shared notes and favorites help the whole team code from the same guidance.
-
Efficiency
- Coders no longer need to search through emails, shared drives, or old messages to find important payer policies, coding tips, or internal procedures.
-
Retention
- Institutional knowledge stays in Codify instead of living only in someone’s inbox, memory, or local files.
-
Onboarding
- New coders can access the team’s curated notes, uploaded documents, and shared references from day one.
